EPF,ESI calculation in excel format
I have created a combined ESI, EPF, Pay roll, calculator by using excel as many are visiting accountinghead.com in search of ESI,EPF calculation in excel format. You can also process payroll by using this calculator. This EPF, ESI excel calculator is free to edit. The sheet is not password protected. You can add, remove columns & rows edit text, insert new formula as you wish. The percentage of calculation can also be changed at your discretion. Be careful while editing, inserting rows, columns in the sheet as there is a chance of in applicability of formula at desired field. I am not guaranteeing its accuracy. If any inaccuracy found should bring in to my notice.
How to use this calculator
This calculator is very simple and user friendly.it simplifies your work of calculating EPF, ESI contributions. You need to enter only salary details in the first sheet named “Salary” the rest of the things will be done by the excel sheet itself. You don’t need to enter any thing in the ESI, EPF sheet.
In this calculator EPF ceiling limit is fixed to 6500.00. Employer contribution on EPS, EPF and other charges like, EPF admin, edli, edli admin charges are calculated based on that. If you don’t want to fix an upper limit for EPF and other charges calculation you must have to change the formula.

Dear Sir,
I am not able to claim my PF amount as my employer has not submitted papers pertaining to my PF account to PF office from last 3 years several requests and reminders has been sent but in vain. Even a request for statement of accounts of my PF account is not received
CAN I CHARGE INTEREST ON THE AMOUNT RECEIVABLE FROM THE EMPLOYER IF SO COUD U TELL ME THE RATE OF INTEREST.

As per my knowledge, if you are not able to get the documents attested from your employer you can do the following.
I. You can get it attested from any one of the following and submit to EPF.
i.Manager of a bank.
ii.Any gazetted officer
iii.Member of the central board of trustees/Committee/Regional commitee ( Employer Provident fund)
iv.Magistrate/Post/Subpost mastres/president of villege panchayath/Notary Public
Or
II. whatever may be the reason,You can approach the PF commissioner directly with the application. the commissioner directly or the officer appointed by him will send the documents
to your employer and the employer liable to attest and submit the documents within five days of the receipt . So you can try that way.
Regarding the interest, The PF commissioner is liable to settle the claim in 30 days on submitting the application. You can claim 12% interest per annum’ if any delay more than 30 days without proper reason.

First of all I would like to thank you for such a nice article. I am having a question on PF return. That is I want to know, what will be the return of my contribution to PF account. My contribution to PF is Rs.780/month and I am contributing to it since last 1.5years. My Net Salary in hand is 12000 from which 780 is contributed to PF.
Please help me. I consulted few colleagues and they said, my return will be calculates something like this
Returned Amount = 780X18(my amount) + 780×18(employers contribution)+ some interest rate on total amount from GOI.
Is this true? Or, there exists some other methodology for calculation on return.

Normally your account is credited with
1. Employee contribution 12 %
2.Employer contribution 3.67 %
3. Interest
Total contribution of employer is 12 % .out of which 8.33 % goes to pension fund balance 3.67 % goes to EPF
In your case employer contribution is 239.00
Interest is calculated on monthly running balance and credited at the end of the year.

As per above, & if i am right, then the calculation will be something like this.
returning amount will be
3.67% of 12000 per month = Rs.440 , so 440*18= Rs.7920 , &
239*18 = Rs 4302
That is final amount will Rs.7920 + Rs. 4302 = Rs 12222 + some interest, that is almost 13-14K
Am I right sir, or there is something missing in calculation

employer share – 239 x 18
+ Some interest
So as per above , if i withdraw my amount from PF account then
the total will around
780*18 = 14040
239*18 = 4302
==============
Rs. 18342 + Some %age of Interest i.e. = around 20K
Please send the calculation of EPF employee and employer’s contribution

To my knowledge, in PF working, the EDLI (0.5%)and EDLI Insp charges (0.01%) are calculated only upto a ceiling limit of Basic:6500/-. For higher salary also, the same rule is followed. So this provides equal link-insurance to all employees under law. If it is the way you suggested, will high salaried get more insurance coverage amount?
PF salary: 4000, PF Admin chrg:44, EDLI:20, EDLI Insp chrg:0.40
PF salary: 6500, PF Admin chrg:71.50, EDLI:32.50,EDLI Insp chrg:0.65
PF salary: 10000,PF Admin chrg:110, EDLI: 32.50,EDLI Insp chrg: 0.65
This is how we have been working for years. Please check it.

I would like to know whether there is any flexibility regarding the amount on which the PF or ESI is calculated.Is it allowed to select salary heads other than (Basic+DA+allowances mentioned above) to calculate PF?
Is there any flexibility regarding what percent of these heads should be considered for PF & ESI calculations?
I have seen this facility in some of the payroll softwares.Just need to confirm, do govt. norms support this?

Somewhere in one of the mail you have referred to calculation of PF Admin. charges.
Kindly clarify whether limit of 6500 applies for calculation of admin. charges in case if the salary is Rs. 10,000.00 and contributions to pf is made on Rs.10,000.00.
Whether Rs.110.00 is payable of Rs.71.50 ?
